Cancellation and Make-Up Rules: Why Is Being Clear a Kindness?

Setting a cancellation rule may seem harsh, but it actually protects both sides. Clear, reasonable, and known-in-advance rules resolve most disputes before they arise.

Cancellation and Make-Up Rules: Why Is Being Clear a Kindness?

Most tutors shy away from setting rules: "What if the student gets hurt?" But having no rule also says something: every cancellation turns into a new negotiation, every exception becomes a precedent, and in the end you have the conversation you like least over and over. Being clear isn't harshness, it's respect.

Put the rules in writing

A verbal agreement turns into something nobody remembers a few months later. Write a short text and share it at the first meeting. It doesn't need to be a long legal document; one page, in plain language. You can also include the text in your listing or in the package description.

What should the text include?

  • Cancellation window: How long before the lesson at the latest can notice be given without the fee being charged? (Most tutors set a window like 12 or 24 hours; this is your decision.)
  • Late cancellation: What happens with cancellations made after the window? Does the lesson count as held, is there a partial make-up?
  • Make-up: How is a make-up done for tutor-caused cancellations? For student-caused cancellations is there an entitlement, and how many?
  • Package duration: Within what time does a package need to be used? What happens to the remaining lesson credits if the time runs out?
  • Refund: Is a refund possible after the package has started, and under what conditions?

Be reasonable

The purpose of rules isn't to punish the student but to protect your calendar. Leave a margin of flexibility for unforeseeable events such as illness or emergencies. An approach like "I'm understanding the first time it happens; if it repeats, we go back to the rule" is both humane and sustainable. Flexing isn't breaking the rule, it's using the rule for people.

Follow your own rules

If you cancel a lesson at the last minute, apply the same rule to yourself: offer a make-up lesson, explain the reason. Showing that the rules go both ways strengthens trust a great deal.

Tone of voice

When there's a cancellation, your first message shouldn't be accusatory: "I understand, these things happen. Under our rule, this procedure applies to this lesson, but I can offer you a new time." When reminding about the rule, focus on the situation, not the person.

Legal framework

There may be obligations arising from consumer legislation regarding cancellations, refunds, and prepaid sales in private tutoring services. This article is not legal advice; we recommend consulting an expert for your own situation. Vedubox Tutor's membership terms are written on its own refund and cancellation page; this doesn't replace the rules you'll set with your students — you determine those yourself.

Tie the rules to the system

Tracking package duration, number of lessons, and payment by hand makes applying the rules harder. When package and payment management are in one place, it's easier to see how many lessons each student has left. For habits around absences, you can look at our lesson calendar article, and for how to structure packages, our package article.

To get started

Set aside half an hour now, write a short five-point rules text, and share it at your next new-student meeting. You'll see what's missing in the first few uses; you'll improve the text over time.
